How do the ladies decide who gets a bid? Like do they discuss who they liked or how do they even keep track of all the names/faces?

I'm not going to reveal the exact process but basically each girl that comes through is voted on. Some girls may get a bid after one day if really wanted or they'll want that girl to talk to more sistera if their interested. If they really don't want you they won't invite u back.
